Architect Ms T had accepted a contract to work on a major infrastructure project in Australia. Before her professional registration could be completed, she was asked to provide an Apostilled UK birth certificate to verify her identity for official registration purposes.
Confident she already had her birth certificate, Ms T retrieved it from a box of personal documents that had been stored in her loft. Unfortunately, a leaking roof had caused water damage and much of the certificate had faded, making important details difficult to read.
She wasn’t sure whether the damaged certificate would be accepted or whether she needed to replace it.
Ms T discovered that because the certificate was illegible, there was a real risk it would be rejected by the Australian authorities.
She also learned that obtaining an Apostille involved an additional stage of the process. Before a birth certificate can receive an apostille stamp UK, the certificate itself must be suitable for official use.
Living abroad for work and facing project deadlines, she didn’t have time to research the process or deal with several different UK organisations.
Rather than trying to organise everything herself, Ms T contacted UK Document Services.
She wanted one experienced team to advise whether her damaged certificate could still be used, obtain a replacement if necessary, arrange the Apostille and deliver the completed documents safely to Australia.
What do I do if my birth certificate is damaged or illegible?
If a UK birth certificate is illegible, what can be done depends on why it is illegible.
1. The certificate is old, faded, torn or damaged (most common)
- If the certificate you have is difficult to read because it has faded, been damaged, or deteriorated over time, the simplest solution is to order a new certified copy from the official birth register.
- The new certified copy will be produced from the original birth register entry and should be clear and easy to read.
2. The original register entry is difficult to read
Sometimes the handwriting in the original register is faint or difficult to decipher. In these cases:
- The certified copy is an exact copy (or extract) of the original register entry.
- The Registrar cannot change or rewrite the information simply because it is difficult to read.
- If the original entry itself is faint or unclear, the replacement certificate may also contain difficult-to-read writing.
3. There is an error in the register
If the birth certificate contains an error (rather than simply being difficult to read), you may be able to apply for a correction through the relevant registration authority, depending on the type of error, when it was made; and the evidence available to support the correction.
Not all errors can be corrected, and some require formal evidence or a statutory declaration.
4. The certificate is needed for official use overseas
If the certificate is difficult to read and is required by an overseas authority, it is usually worth obtaining a fresh certified copy first. If an Apostille is also required, the new certificate can then be legalised by the Foreign, Commonwealth & Development Office (FCDO), provided it meets the necessary requirements. UK Document Services can help you with this.
How to Get an Apostilled Birth Certificate
Ms T completed the UK Document Services secure online Birth Certificate Order Form using the information she already knew, including:
- her full name at birth;
- her date and place of birth;
- her parents’ names; and
- her mother’s maiden surname.
She then ticked the Apostille Required box.
Our experienced team checked the information before submitting the application, helping to reduce the likelihood of avoidable delays.
After confirming that the damaged certificate was unsuitable for official use, we obtained a new certified copy of Ms T’s birth certificate from the official registers.
Once the replacement certificate had been issued, we arranged for it to be legalised with an Apostille through the Foreign, Commonwealth & Development Office (FCDO).
Finally, we organised secure international delivery to Australia using Ms T’s preferred postage option.
Ms T received a clear, official certified copy of her birth certificate with the Apostille attached, allowing her to complete her professional registration without delay.
